Update Member Policy

The member policy in the constitution does not currently represent the club properly. Here are outstanding issues that need to be addressed:

  • Associate Members - We need to explicitly mention associate members of the club, meaning non-student members. List what the associate member can/ cannot do as a member.
  • Membership Requirements - According to Dante, simply signing up through SLI should not be enough to quantify a member. Additionally, not all members may be registered in SLI. Besides dues, we need to specify who is a member, minimum number of meetings, etc. We mention "endorsments" by an officer. Is this something we want to continue to do?

Change Meeting Time Specifications

  • Remove "cannot meet during dead week" from meeting specifications.
  • Specify the minimum number of meetings that the club must hold, according to the constitution.
  • Specify that the minimum number of meetings the club must hold does not apply during breaks or summer term.

Increase specification of officer duties

Increase detail of the following positions, laying out general responsibilities for each. These can be adapted from the officer knowledge retention documents that were mentioned previously, once they have been created.

  • President
  • Vice President
  • Secretary
  • Treasurer
  • Public Relations
  • Web Master

Add section for general discipline

Currently, an officer may be terminated as the only discipline option. We should add a discipline option for officers who do not complete jobs that should not designate termination (some kind of warning), or for members who break soft rules of the constitution.

Specify Which positions are required

Currently, we do not specify which officer positions are required. Because of this, according to SLI every position specified in the constitution must be filled for the club to be recognized and function within the boundaries of the university. If we do not specify this, the moment we have one of these positions vacant we will be considered an unofficial club.

We should specify that President, Vice President, Secretary, and Treasurer are required, and that all other officer positions are optional.

Rewrite Vote of No Confidence

Currently the vote of no confidence is laid out so any member of the club may, during any meeting, call a vote of no confidence for any officer in the club. A vote would have to be held and the officer could be booted from the position immediately.We should change this to require a week of voting through online services.

Additionally, the vote of no confidence requires no rebuttal or allowance of the officer in question to justify themselves, which is not a fair way of law.

Another issue with this is that it is mentioned that the vote of no confidence can be called on any officer, but the secretary runs the secret ballots. Due to conflict of interest, there should be a clause within this to mention the case of the vote of no confidence being called on the secretary.

Increase Detail of election cycle

We need to specify in the constitution when the election cycle should take place every year. This should be early spring term recommend by SLI and ESC.

Specify the allowance of special meetings

Currently, we specify that meetings are "held once a week". This means we are not allowed to meet outside of our weekly meetings.

Instead we need to specify special meetings for events or emergencies, who has the right to call them, etc.

Add leadership meetings

We currently have no specification about how officers are allowed to meet, and who is allowed to attend. We should add a section to allow for officer meetings.

Gender-Neutrality

There are a couple male pronouns in the constitution that should be gender-neutral.

Combine Bylaws onto Constitution

As per suggestion of Dante, keeping the Bylaws on a separate document is recommended when each bylaw has detailed documentation to warrant the specification. He recommended putting the two short bylaws at the end of the document.
